Job Description:


The College is both seeking to fill some vacant positions and to establish a pool of candidates to fill other positions as they become vacant within the Enrollment Communications Department in the future.


GENERAL STATEMENT OF DUTIES:The Enrollment Assistant provides support services to both professional staff and students from diverse backgrounds, directly by phone and indirectly through the clerical and technical support to the Enrollment Services, Admissions, Recruitment, Institutional Research and Planning offices, Faculty and Staff, and the College Community. Support services include but are not limited to answering calls on the colleges 1-800 line with a professional, empathetic, customer-service oriented, friendly attitude; provides college information to prospective and current students, process enrollment management transactions, and assists in covering the colleges switchboard from 8:00 am to 8:30 pm. This position is also responsible for populating the student database with accuracy, processing the daily mail, assisting with special projects, and filing student documents.


  • Provide switchboard services.
  • Provide staff coverage for other departments within the Enrollment Management division.
  • Answer inbound calls routed through the colleges 1-800 line.
  • Provide information to students, faculty, and staff relating to enrollment services or other college matters via Avaya IP software, email, BANNER student information system, SARS, MCC Portal, MCC Directory, MiddleNet, DegreeWorks.
  • Confer with manager on matters of policy and procedures for complicated situations.
  • Register students for credit and non-credit courses, verifying appropriate prerequisites, and schedule enrollment, registration, testing and advising appointments using SARS system. Process add/drop, withdrawals, address changes, program changes, and name changes.
  • On student records, remove holds that prevent students from registering for classes; exercise judgment in allowing prerequisite overrides based on information provided by the students that they have completed previous coursework.
  • Reset student passwords upon request.
  • Obtain payment from students over the phone, accepting payment by credit cards; processing payments in BANNER. Complete daily cashier checkouts using the credit card payment application.
  • Enter in BANNER admissions applications received through mail, email, online web applications, and fax. Enter Quick Forms received on web email and email new students information on how to enable them to register online for classes. Proofread applications from the student information center, admissions fairs, and other recruiting venues and testing centers. Identify and troubleshoot incorrect data, and research and solve problem or duplicate data received online. Update records as changes are reported. Maintain highest level of data integrity.
  • Assist with processing duplicate student identification numbers. Correct data entry in the BANNER system with daily edit error reports.
  • Support outreach initiative for the admissions office by calling eligible admitted students to make testing and registration appointments. Provide reminder calls for student registration or testing appointments. Provide support for the Registrars office by calling to inform students of cancelled courses and offering substitute courses in their place.
  • Instruct students on how to use college online applications, such as MiddleNet and Blackboard, to register for courses, obtain grades, transcripts, run degree audits using DegreeWorks, reset passwords and assist students with problems that may arise; assist students in navigating the college website.
  • Schedule placement testing and advising appointments.
  • Fulfill requests for college literature, such as catalogs, view books, semester schedules, financial aid applications, and joint admission information.
  • Complete bulk registrations for Business & Industry and select grant funded courses.
  • Code students in cohorts such as Lowell Connections, Dual Enrollment, Student Success Program, Program for Student Achievement, Honors, so that necessary services may be provided.
  • Answer student emails and voicemails. Open, process, and distribute incoming mail.
  • File student documents as require.
  • Perform other related duties as required.



  • High School Diploma or GED;
  • Work experience in office administration;
  • Strong organizational skills and attention to detail;
  • Knowledge of Microsoft Outlook;
  • Excellent English verbal and written communication skills;
  • Computer data entry skills;
  • Ability to establish rapport and maintain harmonious working relationships with students, faculty, staff and administrators of diverse socioeconomic, cultural, and ethnic backgrounds, including those with different levels of academic preparation and varying physical and learning abilities.


  • Associates Degree
  • Knowledge of Microsoft Excel and Word
  • Experience with Banner, ESARS, MiddleNet; DegreeWorks;
  • Bilingual skills

Additional Information:

POSITION REPORTS TO:Director of Enrollment Communications and Support

PAY RATE: $13.80 per hour without benefits

HOURS:19 hours per weekbetween Monday and Friday and between 8AM and 8:30PM as arranged. Total hours must not exceed 974 per fiscal year.

STARTING DATE:Early January, 2013.
